Step 1
Search field | Strategy | Example |
Surname | Entity | Start with the full surname. If that fails, try a different spelling thereof to account for potential spelling errors or entry variations. | Search for "Ander" only, instead of "Andersen" in case it may have been spelled "Anderson"). |
Initials | Use the client's first name initials (e.g., 'R' for Robert). This may account for second names that may not have been captured. | Search for 'R' instead of 'RA' |
Product Number | This is the most precise field. Double-check the policy number for typing errors. If you have only a partial number, enter the first few digits. | If the full number is 'P-123/001', try 'P-123' |
Provider | If you know the provider. Use this to limit the results and make it easier to visually scan the remaining list. | Select Provider and apply filter |
If the above methods aren't proving successful, navigate to Commspace for further investigation.
Step 2
Search for the product/client on Commspace, specifically in the Product Agreements tab.
β
Why?
Your report may have different filters that you may not be aware of. On the Product Agreement tab on Commspace, it will list ALL products and clients that have already been linked on Commspace.
This will identify the product agreement - check that the record has been linked to the correct agreement/responsible partner.
If there are no results, it means this item has not been linked yet. Continue to step 3.
Step 3
If you haven't found your product/client using the above methods yet, navigate to Statements, apply a filter for the product/client:
If there are succesful results, it is most likely not in an "allocated" status (here's how to allocate your statements, or if it's "not linked", here is how to link it)
If there are no results, it means the commission statement containing this product number has not been processed yet. Continue to step 4.
Step 4
Check that the commission statement where this product number is found, should be processed by checking that it recons to the bank statement (if the revenue has been banked yet).
If it recons, ensure the correct commission statement was processed. Reprocess as needed.
If there are no results, the commission statement has not been paid out yet. Follow up with the provider as to why the commission hasn't been released yet.
