Commission statements not suited for upload to Commspace.

Regarding the commission statements for upload in PDF - Commspace cannot accomodate PDF or converted commission statements.
Reason being is that there are various converters out there which all convert statements differently, but more important inaccurately. These converters merge cells and the data falls into different columns, therefore Commspace cannot detect which data belongs to which headers (for example some excluding VAT amounts may be processed as including VAT due to the moving columns)

The good news however is that all providers are able to provide commission statements in an electronic format (CSV/Excel/TXT), it's just a matter of ensuring these get sent to you on a monthly basis. These commission statements we've already made provision for, so they should upload without problem. 🎉


Key Reasons for upload failures

  1. Unsupported file format: Avoid converted formats (e.g., PDF to Excel). Use original Excel, CSV or .TXT formats.

  2. Missing required fields: Basic required fields must be present.

  3. Mismatched Totals: Ensure 'Amount exclusive' + VAT = Total Including VAT per row, and Fees + Commission = Total Including VAT

Steps to resolve upload errors

  1. Use original Excel/CSV/TXT files only.

  2. Ensure all required fields (like commission yype and policy numbers) are filled.

  3. Double-check all totals and calculations for each line item for accuracy.

Best practices

  1. Stick to original formats - no conversions.

  2. Always verify mandatory fields (Client Name, Policy Number, Commission Type, Amounts.)

  3. Validate the math before uploading.

  4. Use generic statements if available but only as a last resort—they’re upload-friendly.
