What to do if your Provider commission statement is password protected (encrypted)

We can now specify default provider statement passwords on global and office level, that will be used to automatically decrypt password-protected statements during import (works for email feed as well).


A few things to note


1. It’s theoretically possible to specify up to 3 passwords now for decrypting password-protected statements (zip or Excel).

The system will try all available passwords in order:

(a). a user-provided password via the import dialog (if specified)

(b). office-level default provider password (if specified)

(c). global-level default provider password (if specified)

2. Our support team will capture global provider default passwords as necessary.

3. Feel free to start capturing office-specific default provider statement passwords, but note that you currently have to go into the detail of a provider record to be able to tell if a default password has been captured for it or not, we will add a column and a table filter indicating this soon.

4. Also if a password-protected statement is uploaded and there isn’t a valid password for it available, the user will get notified about it in the statement import error message.

5. Please note that password-protected statements without a valid password will still go to file import failures for the time being, to give us a chance to identify them and capture default provider statement passwords where available. At some point later we can stop these from going to file import failures altogether, if necessary.

6. As soon as we’ve added the ability to easily see/filter for providers with/without default statement passwords set, we’ll announce it.

The following steps will show you how to do it on Commspace

Step 1

Go to the Settings menu on the toolbar. It is located on the right hand side.

Step 2

Click on Providers to open your list of providers.

Step 3

By using Add Filter search for the provider that you need to work with.

Step 4

When you have selected the provider that you want to work with go to the edit pencil in the blue circle located on the right-hand side.

Step 5

Click on the blue Set link to add / adjust the password for that provider.

Step 6

Complete the password applicable to that provider and click on Save right under the Default Statement Password.

You have now set the password for that provider.

During encrypted statement import, if the user didn’t specify a password and there is no password available at office or global provider level (or there is, but none of them is the correct password), Commspace will now also try all of the available partner provider codes to see if any of them decrypts the statement.

This is useful in the case where the provider sends statements per adviser and encrypts them with the broker code (partner provider code).

You can also upload an encrypted statement by supplying the File Password when you are importing the statement.

Adding this password will work for Zip and Excel files that are password protected.

Files will automatically be decrypted using the supplied password during importing, saving you the hassle of first removing the password or unzipping when dealing with password-protected or encrypted files.
